Purpose of the Position:

The Senior Program Coordinator will manage and oversee Center and Contract/Grant equipment and miscellaneous purchases. The Senior Program Coordinator will also oversee maintenance of SWIRLL facility as well as coordinate site visits.

Duties / Responsibilities
• Manage $20M research enterprise for the purchasing activity on behalf of ESSC and AES research projects (computers and peripherals, internet and data service agreements, major equipment purchases, etc.). Provides consultation to Center Director on matters of policy and financial matters to help manage the research enterprise. Has authority to re-budget awarded contracts and grants in management of awards as assigned by the PI or Center Director.
Works closely with purchasing, C&G Accounting, OSP, shipping and receiving, facilities, motor pool and other campus departments. Incumbent will carry out major assignments in conducting operations of the Center.
• Responsibility for facilities management for SWIRLL. Generate and manage work orders and consult with facilities, building and grounds, motor pool and OIT. Work closely with UAH Campus Police to coordinate electronic key card usage, track users and report any security failures to Campus Police.
• Lead Undergraduate research technical personnel in employment, scheduling and duties for local and remote field campaigns. Incumbent must create a letter contract for approval by the Office of Counsel for each student being deployed, provide each student a letter and process individually for payment. This requires coordination between incumbent, Office of Counsel, HR and Payroll Departments.
• Create and maintain a database of P-Cards and program users to quickly disseminate information. Oversee the documentation of P-Card expenditures, proper P-Card usage, reporting, and reconciliation.
• Audit ESSC P-Card reports assuring compliance of existing or new requirements.
Runs expenditure reports as needed for auditors and administration.
• Create reports of P-Card usage. Signature authority for all related P-Card documentation.
• Processes travel reimbursement paperwork.
• Plan and organize the complex operation of local and remote field campaigns including obtaining permission to occupy field sites and coordinating the logistics of transporting vehicles and instrumentation.
• Coordinates all aspects of field campaign travel for participants for prior approval, including planning of lodging, route plans and fuel stops, sometimes to severe weather locations that are required to be planned under short deadlines as well as after-the-fact expense vouchers.
• Field campaigns include but are not limited to severe weather outbreaks, eclipse viewing, MapNet outreach, educational events, etc.
• Manage SWIRLL, SWIRLL - Great Plains location and MAPNet community outreach for both on campus and off campus events such as K-12 field trips to UAH, K-12 site visits, Severe Weather Awareness Day (SWAD) events with the National Weather Service and all other tour requests or visits. This requires coordination with schools, the National Weather Service and PIs to ensure community outreach requirements are met for relevant contracts & grants.
• Organize SWIRLL hosted UAH events including meetings, conferences and workshops.

Minimum Requirements:

• Bachelor's degree or an equivalent combination of education and years of experience
• 3-5 years of full-time verifiable administrative work experience
• Experience with contracts and grants
• Contracting and grants procurement experience
• Proficient in the use of Banner

Desired Qualifications:

• Master's degree
• Experience in a university environment
• Advanced experience in Banner
• Knowledge of Scientific and computer equipment and procedures

Published Salary (if available):

$52,000 - $57,000
